Operational Specification & Ledger Architecture

1. Overview & Architecture

  • Cloud Sync & Offline Reliability: Seamlessly combines Google Cloud Sync for multi-device restore with an encrypted on-device SQLite database for instant, 100% offline daily operations without internet lag.
  • Double-Entry Accuracy: Continuous real-time reconciliation of Expected Rent, Collected Revenue, Expenses, and Net Operating Income.
  • Native ISO A4 Printing: Built-in Android Print Spooler integration for formatted PDF rent receipts and financial audit statements.

2. Primary Navigation (4 Core Tabs)

  • Tab 1 (Month View): Expected, Received, Pending, Total Expenses, and In-Hand Net Profit cards. Features 12-month selector strip and 1-tap payment toggles (Blue ONLINE, Green CASH, Orange PENDING).
  • Fixed Expected Rent Rule: Expected rent remains permanently locked to base agreed rent. Logging excess or split payments records actual collections accurately without inflating expected rent baseline.
  • Tab 2 (Tenants Directory): Active tenants pinned at top; vacated tenants sorted to bottom. Secure dual-sided Aadhaar ID vault, rental agreements with automatic Expiry Date calculation (Joining Date + Agreement duration), strict 2023–2099 valid calendar date verification, and "Start Tracking Rent In App From" historical isolation.
  • Tab 3 (Joining Date): Chronological tenure scheduling with sorting by Due Day (1–31), Name, Unit, and Rent Amount with overdue balance tracking.

3. Expense Management & Net Profit Formulation

Net Profit (In-Hand) = Total Rent Received - Total Operational Expenses
  • Monthly & Yearly Tabs: View monthly expenditures or switch to FY View for annual totals, monthly averages, and category breakdowns.
  • Interactive 12-Month Grid: Clickable month boxes displaying recorded expense totals. Tapping any month box switches directly to that month's itemized list.
  • Edit & Delete Controls: Edit (amber pencil) to update entries, or Delete (red trash icon) with confirmation to recalculate Net Profit in real time.
  • 11 Categorized Heads: Maintenance, Electricity, Water, Plumbing, Painting, Property Tax, Society Charges, WiFi, Security, Tenant Refunds, and Other Expenses.
  • Deposit Deduction Tracking: When settling move-outs with repairs, choose "💵 Keep in Cash" or "📲 Keep in Online". Unspent deposit deductions add directly to Dashboard In-Hand Cash or Online (badged +Dep. Added) and automatically reduce when spent on repair expenses.

4. Daily Rent Reminders, Batch Actions & ⚡ Start Auto-Queue

  • Daily Reminder Handover: When toggle is OFF, the card displays "Default 9:00 AM & 6:00 PM alerts active" and automatically triggers standard 9:00 AM & 6:00 PM alert notifications so due dates are never missed. When toggle is ON, it pauses the default alerts and triggers only at your custom selected hour and minute.
  • Configurable Daily Time: Landlords can set their exact preferred custom reminder time (hour & minute) in Settings whenever the toggle is ON.
  • Notification Quick Actions: Daily notifications pop up with [WhatsApp All] and [SMS All] action buttons to trigger batch reminders with 1 tap.
  • ⚡ Start Auto-Queue: Send bulk rent notices to all pending tenants in one continuous, effortless flow. Tapping "⚡ Start Auto-Queue" in the Remind All sheet automatically pre-loads each tenant's personalized message into WhatsApp. Simply tap Send and press Back—BaseRent instantly queues and opens the next tenant with a smooth 1.2-second pause until every tenant is notified.
  • Full Pause & Flow Control: Includes a prominent "⏸ Pause Auto-Queue" button to temporarily hold the queue, review messages, or switch channels anytime.
  • Smart Error Handling: Automatically detects invalid WhatsApp numbers, auto-dismisses popups, and badges the tenant as Skipped ⚠️ for convenient retry.

BaseRent ("we", "our", or "us") respects your privacy. This Privacy Policy explains how our native Android application and website handle your data.

1. Offline-First Data Storage

BaseRent operates primarily as an offline application. All tenant profiles, phone numbers, payment records, and property expenses are stored strictly on your local device inside an isolated Room SQLite database. We do not sell, rent, or harvest your personal records.

2. Cloud Backup & Authentication (Optional)

If you choose to use our optional Google Cloud Sync, your database is encrypted client-side using military-grade AES-256-GCM encryption before transmission to secure Google Firebase Firestore instances.

3. Device Permissions

BaseRent requests only standard utility permissions: notification permissions for rent due alerts, storage permissions for exporting PDF receipts and spreadsheets, and internet access for optional cloud sync and license verification. BaseRent never reads, collects, or shares your personal messages, contact lists, photos, or private files.

This ₹499/- lifetime offer is strictly a limited-time promotional deal that will close upon official Google Play Store launch, after which official Play Store pricing will take effect.

2. Acceptable Use

BaseRent is designed for residential landlords and commercial property managers. You agree not to decompile, reverse-engineer, resell, or distribute pirated copies of the software.

3. Limitation of Liability

BaseRent provides automated calculation utilities for convenience. Users remain solely responsible for tax filings, local tenancy compliance, and financial records verification.

Refund & Cancellation Policy

1. Instant Digital Software Delivery

BaseRent Pro is an instantly delivered digital software product. Upon successful payment via Razorpay, software license activation and direct APK download access are provisioned immediately.

2. Refund Window

If you experience any verified technical defect that prevents the app from running on your supported Android device (Android 8.0 or newer) and our support team cannot resolve it within 7 business days, you are eligible for a 100% full refund within 14 days of purchase.
